Venue agreement
Guest data agreement.
Optional. You do not need this to list or take bookings. Accept it from your portal if you want to keep notes on guests or contact guests who have opted in to hear from your venue. It sits alongside the venue terms with Halfseat Limited (company number 17489702). Version 2026-10-22.
1What you receive
For each booking we pass you only what you need to seat the guest: their name, party size, phone number if they gave one, and any notes they left.
We do not pass you a diner's email address for marketing unless that diner has specifically ticked the box for your venue at checkout. That choice is per venue, off by default, recorded with a timestamp, and the diner can withdraw it at any time.
2What you may do with it
You may:
- Use the booking details to prepare for and serve that booking.
- Keep your own private notes about a guest's visits, for example dietary needs or a preferred table, so you can look after them better next time.
- Send marketing to a guest only where that guest has ticked the box for your venue, and only until they withdraw it.
You may not:
- Sell, rent, share or otherwise pass guest data to any other person or business, including another venue you operate, a group or parent company, an agency or a marketing platform.
- Add a guest to a mailing list, loyalty scheme or CRM for marketing purposes without that guest's per-venue tick.
- Use guest data for any purpose other than those listed above, or combine it with other data to profile a guest.
- Keep guest data longer than you need it, or after the guest asks you to erase it.
3Your responsibilities under data protection law
Once we pass you a booking, you decide how you use that data within the limits above, which makes you an independent controller of it under the UK GDPR. You are responsible for:
- Holding it securely, and limiting access to staff who need it to do their job.
- Answering a guest who asks you for a copy of their data, asks you to correct it, or asks you to erase it. Tell us within 5 working days if you receive such a request so we can keep our records straight.
- Telling us within 24 hours if guest data you hold is lost, stolen or exposed, so we can meet our own 72-hour reporting duty to the ICO.
- Having your own privacy notice covering what you do with guest data after the booking.
- If you instruct a third party to handle guest data on your behalf, for example a booking system or an email tool, you remain responsible for what they do with it.
If you use guest data outside this agreement we may suspend or remove your listing immediately, and we will tell affected guests what happened where the law requires it. You agree to cover any fine, claim or cost Halfseat reasonably incurs as a direct result of your breach of clauses 1, 2 or 3.
4Ending
If this agreement ends, or you end the venue terms, you must stop using guest data for marketing immediately, even where a guest had ticked the box, unless that guest is also your customer through some other route. You may keep booking records where you have to for tax or accounting purposes.
Questions: hello@halfseat.com. How we handle diner data is set out in our privacy notice.
